Privacy Policy

1. Who we are

RightSite Home Care Inc. is a non-medical home care agency at 9 Carriage Lane, Wasaga Beach, ON L9Z 0L8. This policy covers the information we collect through this website and when we provide care. We handle personal health information in line with Ontario's Personal Health Information Protection Act (PHIPA), and other personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies.

3. What we collect

• Contact form: your name, phone number, city, the service you're asking about and your message.
• Online client forms (Service Agreement, Plan of Care, PHIPA Consent): name, address, phone, email, date of birth, emergency contacts, care goals and routine, mobility and safety details, and, only if you choose to share it, limited health information like conditions, allergies and memory concerns. We also collect your signature.
• While we provide care: the information in your Plan of Care, visit notes, and anything we need to keep you and our caregivers safe.
• Caregivers and job applicants: application and employment details. Our staff scheduling app records shift times, visit notes and the caregiver's location when they clock in and out.

We collect only what we need to provide safe, non-medical home care.

4. How we use it

• To answer your questions and set up a consultation
• To create and update your Plan of Care
• To schedule caregivers and deliver services
• To communicate with you and people you've authorized
• To bill for services
• To keep clients and staff safe, and to meet legal and regulatory requirements

5. How online forms are sent

When you submit an online client form, your answers are sent through FormSubmit (formsubmit.co), an online form service, to our Gmail email account, which is run by Google. A signed PDF copy also downloads to your device. If you use a shared computer, delete the PDF when you're done.

The contact form works differently. It opens your own email app with your message ready, and you send it to us from your own email account. Nothing is stored on our website.

FormSubmit and Google may process and store information outside Canada, including in the United States, where it can be subject to the laws of those countries. If you'd rather not send information online, call us and we'll complete paper forms with you.

6. Who we share it with

• The caregivers providing your services
• Family members or substitute decision-makers you have authorized
• Emergency services, if there is an emergency
• Service providers who help us run the agency (like email and website hosting), only as needed
• Anyone we are required to share with by law

We never sell your information or use it for marketing.

7. How we protect it

• Only staff who need your information to do their job can see it
• Every employee signs a privacy and confidentiality agreement
• Phones and computers used for work must be password-protected, and caregivers may not take photos of clients, homes or documents
• Paper records are kept in a secure location

No system is 100% secure, but we take reasonable steps to protect your information from loss, theft and unauthorized access.

8. How long we keep it

We keep your information only as long as we need it to provide services and to meet our legal, tax and insurance obligations. After that, it is securely destroyed.

9. Your rights

• Ask to see the information we hold about you
• Ask us to correct anything that is wrong
• Withdraw your consent, with reasonable notice. This may affect our ability to provide some services
• Ask questions or make a privacy complaint

Contact our Privacy Officer to make a request. We will respond within 30 days.

10. Complaints

Privacy concerns can go to our Privacy Officer, or to our Manager at ComplaintsRightsite@gmail.com. We'll look into every concern and get back to you.

11. Cookies and website visits

We don't use analytics, advertising or tracking cookies on this website. Our pages load fonts from Google Fonts and some photos from Unsplash, and our contact page shows a Google map, so those companies may receive your IP address and basic browser details. Our web host keeps standard server logs for security.

We may update this policy from time to time. The date at the top shows when it was last changed.
